Job Description: Accounting Assistant

This entry level Accounting Assistant position offers a chance to gain experience with the fundamentals of the nonprofit field. Since you’ll be handling basic accounting and working with the Museum’s Controller, precision is important in this role. The primary responsibility is to support the staff controller in their duties managing the organization’s finances and producing financial reporting documents for the organization.

Accounting Assistant responsibilities include managing accounts payables and receivables, entering financial transactions into internal databases, and reconciling invoices and reimbursements along with the POS system. You’ll also participate in tax filings and annual audit procedures. If you have an Accounting degree and are interested in gaining experience in nonprofit bookkeeping and accounting, we’d like to meet you.

Position:  Assistant Controller

Schedule:  Full-time, 40 hours/week; flexible schedule, early morning, evening and holiday hours as necessary

Rate:   $58,000 to $65,000/year

Reports to: Controller/Business Manager

Responsibilities and Essential Functions

This position will assist the Controller in the following areas:

  • Prepare the day-to-day accounting functions, including accounts payable validation and payments preparation
  • Reconcile monthly bank account statements with Museum’s ledgers
  • Utilize employee expense reports to properly analyze and expense each item in credit card statement to the general ledger
  • Maintain fixed asset maintenance and monthly depreciation expense
  • Deposit daily cash, check, and credit card receipts and ensure dollar amounts reconcile with POS reporting.
  • Update journal entries as necessary for after-hour online credit card purchases
  • Generate the company’s financial reports using income and expenditure data
  • File and remit taxes and other financial obligations
  • Prepare relevant financial statements, including IRS forms 990, 1096, and 1099
  • Assist with and/or facilitate the annual audit
  • Participate in researching and selecting future POS, donor, and accounting systems for the Museum
  • Other duties as assigned

 Job Requirements

  • Minimum of Associate’s degree in Accounting required, Bachelor’s degree preferred
  • Hands on, prior working experience with Quick Books Cloud
  • Excellent accounting skills and understanding of nonprofit accounting principles
  • Comfortable working with complex systems and software
  • 3+ years of accounting experience, non-profit accounting experience is a plus
  • Strong understanding of fund and program accounting, experience with restricted funds is a plus

 Work Environment

  • This position operates in a busy indoor environment; crowds and moderate to very noisy sound levels are common.
  • Associated outdoor duties are also required for opening and closing and for other necessary activities as well; these activities may involve exposure to rain and snow, extreme temperature variations, and smoke/exhaust fumes from coal burning steam locomotives and other rail and road and off-road vehicles.
