Administrative Assistant – Art in Public Places | City of Longmont

Under direction of the Art in Public Places Administrator, provide a supportive role performing a wide range of administrative, clerical duties and program related tasks.
Principal Duties:
- Prepare and distribute meeting agendas, packets, and related materials via electronic and/or non-electronic means. Take, tape, transcribe, and distribute meeting minutes. May act as Recording Secretary for boards and commissions supported by the department or facility during evening or non-traditional hours. Route and submit final approved documents. Provide meeting support.
- Research and compile administrative and program/project related information. Prepare and produce narrative and design for communication materials such as newsletters, bulletins, brochures, publications, and marketing materials for departmental programs including social media content.
- Review and update department web page content using web page publishing software.
- Contributes to public event execution; moving materials with city vehicle, executing event details, set-up/tear-down, as assigned.
- Assist with the general maintenance of the filing and records systems for the public art program, electronic and paper format.
- Enter data into computer systems or databases and correct any errors. Run and review standard and ad hoc reports as required. Prepare routine or frequently required reports including compilation of data, writing of non-technical narrative, and development of report format and presentation.
- Establish, maintain, and adjust appointments, activity calendars, and work schedules for work groups, individuals, city facilities and equipment.
- Complete special projects such as evaluations, data collection and entry, organization of program supplies, etc.
- Performs essential duties and additional tasks in a manner which enhances City Attributes.
Working Environment:
Work is generally performed in standard office environment. Frequent use of technical office equipment including personal computer, document preparation equipment, telephone, and copier/scanners. May include mobility through diverse work environments, and frequent exposure to stress associated with varied, time sensitive, complex tasks. Work frequently involves confidentiality, reasoning, problem solving, math skills, ability to multi-task, and attention to detail. Exposure to interruptions. Physical requirements include frequent use of fingers, use of both hands, sitting, correctable vision, hearing, speaking and writing; moderate carrying, reaching, walking, standing, bending, stooping, twisting, kneeling, squatting, and driving. Occasional lifting or carrying of materials up to 50lbs. May be required to work occasional long or non-traditional hours to fulfill organizational needs, projects, or special circumstances. Work frequently involves confidentiality, reasoning, problem solving, math skills, ability to multi-task, and attention to detail.
Qualifications:
Any combination of education and experience equivalent to secretarial or office administration coursework and at least three years of related administrative or secretarial experience. Experience in Museum or cultural office preferred. Proficiency in Adobe Illustrator and Photoshop desirable. Special Qualifications: Bilingual (English/Spanish) proficiency desirable. Valid Colorado’s Driver’s License is required.

Hiring Range: $23.00 – $26.00/hour
Monday – Friday, various shifts
Occasional evenings and weekends
