Denver Botanic Gardens is currently hiring for a Full Time  Facility Scheduling Coordinator in our Events Department! Read below to see if the requirements might be a good fit for you:
 
Job Summary:
The Facility Scheduling Coordinator is responsible for scheduling rooms, spaces, and gardens to optimize internal use within a fast paced and dynamic environment. This position reviews, evaluates, solves/negotiates any calendar conflicts, and processes all reservation requests inside the Gardens tracking system. In addition, this position provides guidance to departments on logistical considerations. The Facility Scheduling Coordinator leads a weekly interdepartmental meeting to ensure reservation details are set and communicated amongst colleagues. In addition to scheduling responsibilities, this position provides administrative and other support to the Events Department. Nights, weekends, and some-holiday work may be required.  
Education/Experience: A minimum of two years related administrative and/or complex scheduling experience plus analyzing multifaceted logistical details and/or training; or equivalent combination of an Associate’s degree or equivalent combination of education and experience is required. Must be proficient with Microsoft office-based software including but not limited to Word, Excel, Outlook, PowerPoint, and Teams. Extreme attention to detail and organization along with negotiation skills are a must. Knowledge of Vantix ATMS+, Blackbaud Financial Edge, Power Plan and Jira is strongly preferred. 
 
 
Essential Job Duties:
  • Ensures the efficient and effective organization of Denver Botanic Gardens’ institutional calendar by entering all internal reservations through ATMS+ scheduling software.
  • Reviews institutional reservation requests through Jira System software.
  • Leads a weekly institutional wide calendar meeting to review upcoming events, projects, etc. to ensure details are set and communicated amongst colleagues.  
  • Builds rapport and maintains a positive and communicative relationship with each department. 
  • Annually, this position facilitates, coordinates, and books each departments subsequent programming calendar. 
  • Addresses internal calendar conflicts and works directly with each department to negotiate and determine best fit for organization. 
  • Performs a variety of administrative duties including but not limited to processing payment requests and coordinating monthly department meetings.
  • Reviews the ATMS calendar daily to ensure entries are complete with notes. 
  • Initial contact for all internal reservation requests. Reviews, responds, and provides detailed information regarding space availability and recommends best practices.
  • Runs multiple ATMS reports for review and analysis.  
  • Maintains and updates institutional scheduling guidelines accordingly. 
  • Coordinates with IT on Sturm Auditorium film schedule monthly.
  • Works with Visitor Services and Security teams on early closure planning and logistics. 
  • Provide outstanding customer service to staff, volunteers, and visitors of the department including, but not limited to, in-person, written, verbal and electronic communication.
  • Adhere to all department and organization policy and procedures.  
Other Job Duties:
  • Assists Public Events Team with duties including but not limited to event setup and strike. 
  • Works with all departments to assure highest quality experience for all DBG visitors.
  • Maintains satisfactory working relationships with managers, co-workers, and others.
  • Keeps a positive, helpful, and solution-oriented demeanor when responding to or serving colleagues, members, and visitors.
  • Performs other duties as requested by management including but not limited to helping onsite with events.
