FLSA: Full Time/Exempt

Salary/Hourly Rate: $55,000 – $57,500

Position Summary:

The Professional Services Project Manager, with a primary focus on Professional Services,  will manage project timelines, contracting, invoicing and workflow for all professional services projects while also supporting organizational project priorities as needed.  These projects are focused on:

  • Pollinator Districts: Pollinator Districts are multi-year partnership with land developers which result in the development being a certified Pollinator District. Departments who work on the projects include Horticulture, Research and Conservation, Curatorial, Marketing and Accounting.  These projects are multi year and will involve coordinating with multiple departments and customers to ensure all deadlines and deliverables are met.
  • Habitat Restoration: These projects work with agriculture, oil and gas, and other industries to restore invertebrate habitat after development. These projects are often multi-year and highly seasonal.  Multi-department and vendor coordination is required to ensure work is delivered on-time and an budget.
  • Garden Design: These projects are shorter in length and involve primarily the Horticulture department and clients. Project Manager will ensure staffing resources are dedicated to the project and projects are added to the timelines.
  • Bee Services: These projects are shorter in length and involve primarily the Curatorial or Research and Conservation department and clients. Project Manager will ensure staffing resources are dedicated to the project and projects are added to the timelines.
  • Land Easements: These projects are shorter in length but could be multi-year and involve primarily the Research and Conservation department and clients. Project Manager will ensure staffing resources are dedicated to the project and projects are added to the timelines.
  • Speaker’s Bureau: These services are usually one-time offerings but could have opportunity for regular speaking series. Departments who implement Speaker’s Bureau are Horticulture, Research and Conservation, Curatorial, and Education.

Essential Functions & Responsibilities:

  • Ensure all projects are time lined ensuring adequate staffing resources are available and devoted to projects.
  • Communicate and work closely with customers, vendors and installers on project timing, completion estimates and appropriate staff contacts.
  • Track completion of all phases of projects.
  • Prioritize in a time-crunched, fast paced environment.
  • Oversee and drive implementation and operation of project management database.
  • Communicate with staff and leadership on project progress, issues, and help identify where additional resources are needed.
  • Contract development and project timelines to ensure we deliver a world class product.
  • Serve as key liaison between leadership, implementers, and the client facing team.
  • Ensure on-time completions within budget.
  • Inspect work in progress to ensure conformity to contract and schedules.
  • Project positive attitude while establishing effective professional relationships.
  • Forecast risk, deficiencies and unrealistic expectations while identifying solutions.
  • Manage budgets, team power, expenses, and costs to complete projects.
  • Manage, issue and support negotiations of RFI’s (request for information) and change orders.
  • Meet or exceed all deadlines and budget requirements.
  • Be able to write Standard Operating Procedures clearly and concisely.

Position Outcomes:

  • Identify and implement project management software that supports Butterfly Pavilion’s professional services needs by end of Q1 2022.
  • Provide project management for professional services amounting to $500,000 in the first two years.
  • Develop professional services contract template and service menu for implementation within first 90 days.
  • Lead monthly professional services sales meetings.

Qualifications/Experience:

  • 3-5 years of experience in project management or construction management. Experience in construction or oil and gas a plus.
  • Bachelor’s degree, advanced degree is a plus.
  • Knowledge and experience working a variety of project management software solutions.
  • An understanding of project budget development and job costing.

Additional Requirements: 

  • Regular attendance to organization, branch and department staff meetings and trainings.
