Program & Events Coordinator

This position is responsible for the coordination of and administrative support for CBCA programs, training and events. The Program and Events Coordinator must have excellent customer service, communication skills, attention to detail, the ability to work with diverse people and self-prioritize competing projects. This position reports to CBCA’s Executive Director and is supervised by the Deputy Director.

The Program & Events Coordinator’s responsibilities include, but are not limited to:
• Provide administrative support for CBCA programs, including participant tracking, application and selection processes, material development and distribution, speaker and venue scheduling and logistics
• Participate in ongoing program planning, strategy and evaluation
• Update and maintain website and database for program-related content, data collection and tracking
• Manage Accounts Receivables for program-related earned income, including tuition and registration fees

• Provide project management for events including but not limited to creating and maintaining online event listings, managing registrations, attendee relations and communications before and after events
• Oversee event staffing and execution, including volunteer supervision
• Coordinate vendors including but not limited to catering, entertainment, performers, and artists
• Manage logistics and technical needs for virtual “and in-person venues
• Assist in creation and distribution of printed and digital materials for major events
• Manage Accounts Receivables for events, including tickets and table sales

General Administration
• Oversee CRM database maintenance, management and reporting
• Provide administrative support for the Board of Directors and select Committees including scheduling assistance
• Assist with office management, including supplies and vendors

• Previous experience in programs, events and administrative support roles
• Can be successful working remotely, independently and collaboratively
• Excellent organizational skills and attention to detail
• Ability to prioritize and meet multiple deadlines
• Experience in accurate and efficient data entry
• Proficiency in Microsoft Office (Outlook, Word, PowerPoint and Excel)
• Platforms used by CBCA include, but are not limited to: QuickBooks Online, WordPress, MailChimp, Salesforce, Blackthorn and Soapbox. Experience with these or similar platforms is preferred
• Strong written and verbal communication skills
• Must have a customer service orientation and professional demeanor
• Previous experience working in a non-profit or cultural institution a plus

This is a full-time position plus benefits. Salary range is $45,000 – $50,000 annually depending on experience.

Flexible work environment, including working remotely, with in office and in-person programs and events. Occasional evening and weekend obligations may arise for certain programs and events.
