POSITION PURPOSE:

This position reports to the Director of Accounting.

This position supports all aspects of Payroll, utilizing a skillset that has great attention to detail, accuracy, understanding Museum operations, not-for-profit accounting, as well as payroll and withholdings regulations. Additionally, reconciles Benefits accounts and other payroll related balances. Performance of segregated duties and adherence to internal control procedures contributes to the audit requirement of safeguarding museum assets.

PRIMARY RESPONSIBILITIES:

Recurring Duties

  • Prepare bi-weekly payroll. Reviewing prior to submission for accuracy based on approved timesheets, applicable pay rates and employee benefit elections.
  • Partner with Talent & Culture to ensure new employees, changes and terminations are accurately entered in the payroll system.
  • Comply with regulatory reporting and filing requirements including garnishment management.
  • Monitor timesheets to ensure timely submission and approval.
  • Prepare, maintain, and review payroll reports including management reports.
  • Prepare, maintain, and review Full Time, Flex-Time and Part-Time payroll budgets.
  • Ensure timely distribution of the Museum’s W-2s.
  • Reconcile employee benefit plans between the payroll systems and benefit vendors and communicate discrepancies to Talent & Culture in a timely manner.
  • Ensure timely submission of benefit invoices to Accounts Payable.
  • Handle administration of the Museum’s 403(b) retirement plan including employee eligibility and remitting contributions to provider.
  • Prepare workpapers for 403(b) Audit and Worker’s Compensation Audit.

Month End and Year End Process

  • Ensure payroll expenses are recorded to the general ledger.
  • Month end closing responsibilities as assigned, including reconciliations.
  • Assist with the annual audit process and 990 return.

Other

Act as backup for:

  • New employee vendor process
  • TIN matching
  • Accounts payable processing

Other Duties/Responsibilities 

  • Follow the Museum’s documented policies and procedures and uphold internal controls.
  • Participate in department and Museum projects.
  • Support other accounting team members.
  • Other projects and duties, as assigned.
  • Consistent usage of the Racial Equity Lens in day-to-day operations
  • Yearly goal setting to support Racial Equity Roadmap initiatives.

QUALIFICATIONS (Education, Experience, Skills, etc.):

  • 3 years of experience relevant to Payroll processing or training which provides a working knowledge of accounting procedures
  • Successful completion of two to three college semester of basic accounting classes or equivalent work experience
  • Proficient in Excel and Word, Microsoft Dynamics Nav (Serenic) experience a plus
  • Experience with Paycom Payroll and HR software
  • Detail oriented, professional attitude, reliable, positive customer service skills
  • Possess strong organizational and time management skills
  • Strong problem-solving skills, basic accounting knowledge, research and resolution skills, data analysis and multi-tasking skills
  • Ability to communicate effectively verbally and in writing
  • Ability to interact with employees and vendors in a professional manner
  • Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness

Pay: The hiring salary range for the position is $63,000-$69,000 based on experience.
