Operations Manager
Position Summary
Frequent Flyers Productions is seeking a detail-oriented, proactive, and versatile leader to join our team in our Boulder, CO office. This part-time role is the backbone of our studio’s daily operations, ensuring that our staff, students, and facility are running at peak performance. From overseeing our Aerial Dance Festival to acting as the primary point of contact for staff, students, and parents, you will be the “glue” that holds our creative environment together.
The role will require experience and proficiency in people leadership as well as capabilities in learning technical systems and software for assisting customers in class sign-ups.
The is a part-time exempt in-person position of approximately 20 hours per week. Benefits include paid holidays and PTO as outlined in the Employee Handbook. Preferred hours are M-F 1pm-5pm M-F with some weekend and evening hours.
The Operations Manager will work collaboratively and respectfully with staff, contractors, and the Board of Directors.
Salary DOE: $24,000 – $28,000

Founded in 1988 and based in Boulder, Colorado, Frequent Flyers® Productions (FFP) is a 501(c)3 non-profit and the nation’s premier aerial dance organization. Our mission is to create and promote the magic of aerial dance through performance and education, helping people see the world from a new perspective.
We operate a year-round Aerial Dance School, a Professional Performance Company, and the world-renowned international Aerial Dance Festival (ADF). From outreach programs like “Kids Who Fly” for at-risk youth to professional training for aspiring artists, FFP is a flagship institution in the global aerial arts community.
Key Responsibilities
Human Resources & Staffing
- Talent Acquisition: Manage the full recruitment cycle, including posting jobs, interviewing, and conducting background checks.
- Onboarding: Lead the onboarding process for all new hires (teachers and staff).
- Compliance: Maintain records for staff and employee handbooks.
- Administrative HR: Oversee timesheets, PTO, and sick leave tracking.
- Work-Study Program: Manage the application and interview process; Responsible for the scheduling, training, and direct supervision of participants.
Database & Systems Administration
- Enrollment: Assist with student enrollment using MindBody and Playpass.
- Data Integrity: Maintain “brag sheets,” mailing lists, and sync contact data between MindBody and Constant Contact.
- Technical Tools: Act as a proficient user of Smartwaiver, PayPal POS, and Eventbrite.
Studio & Event Logistics
- Calendar Management: Maintain the master studio calendar and oversee all studio rental contracts.
- Aerial Dance Festival (ADF): Ensure proper staffing levels for our flagship annual festival.
- Front of House (FOH): Coordinate volunteers and merch tables for Professional Company, Student Company, and ADF performances.
Facilities & IT Oversight
- Liaison: Act as the primary point of contact for the landlord, and repair services.
- Cleanliness: Manage the studio cleaning calendar and facilitate communication with the cleaning crew.
- IT Lead: Serve as the POC for IT administration, leading digital cleanup and archiving projects.
- Insurance: Prepare and Maintain Insurance paperwork: Liability, Property, DDO
- General Office Support: Answer phones, Order Office Supplies, Filing / Archiving / Shredding, Postal duties, Business cards
Business Support & Compliance
- Board Relations: Compile and deliver monthly operational reports to the Board of Directors
- Legal & Insurance: Assist with trademark updates, HR legalities, and maintaining Liability/DDO insurance paperwork.
- Donor Management: Update Colorado Gives annually and manage donor mailing lists.
Qualifications & Requirements
- Leadership: Experience and ability to manage the full employment lifecycle to include: recruiting, hiring, retaining, and facilitating employee departures.
- Teamwork: Experience and ability to communicate and deliver with team members in-office or remotely.
- Experience: Previous experience in office management, HR, non-profit, or arts administration preferred.
- System Savvy: Experience with or ability to adapt to systems and software (Google Suite, MindBody)
- Communication: Exceptional interpersonal skills for managing students, teachers, and external vendors.
- Organization: A “master of lists” who can jump between high-level project management and granular tasks like ordering supplies or business cards.
- Physical Presence: This is an in-office role requiring a consistent physical presence at the studio.
