Job Description: Finance and Accounts Manager
Position Type: Full-Time, 32 Hours per Week, Exempt (100% In-Person / On-Site)
Reports To: Executive Director
Compensation: $31.00 per hour (~$51,584 annualized for 32 hours/week)

Position Overview
The Finance and Accounts Manager is responsible for the comprehensive administrative and financial management of Museo de las Americas’ operations and executive departments. Operating fully in person, this role spearheads the development of operating and capital budgets, oversees daily accounting activities, processes payroll, coordinates yearly financial audits, and prepares financial reporting to ensure transparency and compliance for the Executive
Director, department heads, and the Board of Trustees.
Core Responsibilities & Percentages
1. Budgeting, Financial Strategy & Reporting (35%)
●Develop, project, and monitor annual operating and capital budgets in collaboration with the Executive Director (primarily May–June), setting quarterly and fiscal year objectives.
- Prepare monthly and annual financial statements, cash flow statements, and financial projections to support governance and institutional decision-making.
- Work closely with the organization’s external CPA and Executive Director to effectively oversee and reconcile the Museum’s financial assets, including restricted, temporarily restricted, and operating assets.
- Monitor and analyze the financial performance of fundraising events and earned income streams, including the Museum Shop, general admissions, programmatic fees, and special event revenues.
2. Day-to-Day Accounting & Internal Controls (30%)
●Track and record daily income and expenses from all internal departments utilizing accounting and CRM software (QuickBooks and NEON).
- Manage the internal departmental expense authorization workflow, systematically reviewing, verifying, and processing expense requests across all museum departments.
- Supervise and execute essential bookkeeping functions, including accounts payable (AP), cash receipts, accounts receivable (AR), and monthly bank reconciliations with the CPA.
- Initiate, update, and monitor internal financial policies to enforce rigorous, safe cash management procedures and secure timely payroll processing.
- Clearly communicate financial policies and procedures, and train programmatic and departmental colleagues charged with budgetary responsibilities.
3. Grant Tracking, Compliance & Audit Support (25%)
●Create tailored project and grant reports to ensure absolute compliance with foundational and government funding requirements.
- Partner closely with the development/fundraising team to track grant distributions, restricted allocations, and financial narratives.
- Serve as the primary point of contact for independent external auditors; prepare required supporting schedules, build binders, and provide necessary backup documentation for the annual financial statement audit and IRS Form 990.
4. Other Duties as Needed (10%)
●Participate in general administrative support, special institutional projects, and executive initiatives as directed by leadership.
- Attend marquee events, community festivals, or strategic board meetings that fall outside regular business hours throughout the year.
Required Qualifications & Skills
Experience: Minimum of two (2) years of progressive, professional financial management experience, specifically within a non-profit setting (experience with non-profit board reporting, fund accounting, and endowment tracking is required).
Education: A bachelor’s degree in Business, Finance, Accounting, Arts Administration, or a related field is required. A graduate degree (MBA, Master of Finance) or equivalent senior combination of education and experience is highly desirable.
Technical Proficiency: Advanced working knowledge of QuickBooks (Online or Desktop) and non-profit CRM platforms (e.g., NEON or similar donor databases) is required.
Accountability: Demonstrates high-quality, timely, and cost-effective management. Holds self and others accountable for measurable fiscal results and complies strictly with established regulatory control systems.

Physical Demands & Working Conditions
Environment: Standard office environment located within a historic museum building. This is an in-person position requiring daily on-site presence.
Physical Effort: Primarily a sedentary role requiring prolonged periods of sitting or standing at a desk and operating a computer. Must be able to occasionally lift and move office/event supplies up to 50 lbs.
Schedule: Standard business hours, but must possess the scheduling flexibility to work select evenings, weekends, and holiday events to support major museum openings, board meetings, or annual fundraisers.
